1. Information we collect

• Profile information: We collect your LINE User ID and Display Name to identify you and provide personalized experiences.
• Chat history: A translation is only as good as the conversation around it, so we keep a chat's recent messages — the most recent 200 of any one chat, in group chats and one-to-one chats alike. A daily sweep deletes anything that has turned 7 days old, which is also the furthest back !digest can summarize.
• Diagnostics: When something goes wrong — a photo we can't read, a translation that comes back in the wrong language — we keep a record so it can be fixed. Nearly always that record describes the fault by itself: what failed, which model, which language was being asked for. Your message is not part of it. Sometimes the text itself is the evidence — when our automatic quality check flags a translation as wrong, that message and its translation are kept for review for up to 30 days. Translations that pass the check are deleted as soon as they are checked.
• Usage data: We track the number of translations requested to enforce plan quotas and limits.
• When you write to us: The name, organisation, email address and message you type into our contact form, together with the IP address the submission came from. The address is there to answer two questions and no others — is this the same sender again, and should this submission be blocked — because the form is a favourite of automated senders who change their email address every time. It is stored on that one enquiry, never used to build a picture of you, and deleted with it when the enquiry is cleared after 90 days.

2. How we use your information

We use your data solely to operate, maintain and improve the PlumiBot translation service. We do not sell, rent, or trade your personal information. Chat histories are processed to generate accurate translations and are not used to train external foundational AI models.

“Improve” means one specific thing here: finding and fixing what breaks. We keep messages for two purposes only — summarizing a conversation when you ask for a !digest, and reviewing the translations our quality check flags as wrong so the underlying fault can be repaired. A translation that comes out fine is of no use to us afterwards, so it is not kept.

3. Third-party services

We utilize the following third-party services, which have their own privacy policies:

• LINE: For messaging integration and user authentication.
• OpenRouter: The gateway every translation passes through on its way to the AI model that performs it. We pin the routing rather than take the default: a message is never silently re-sent to a second provider, and endpoints that retain text for training are excluded. Which model sits behind the gateway changes as better ones ship.
• Stripe: For secure payment processing. We do not store your credit card information on our servers.

Two more are involved in the website rather than the bot — Google Fonts, which serves the typefaces, and ipapi.co, which resolves a country from an IP address if you have turned analytics on. Both are described in full on the Cookie Policypage.

4. Cookies

We keep cookies to a minimum — there is no ad tracking, and nothing optional is set until you switch it on. Beyond the ones that keep you signed in, there are two categories you control: preferences (your language and light/dark choice) and analytics (a coarse visit count). You can change either at any time, and refusing takes exactly as many taps as accepting.

5. Data retention and deletion

We retain transaction and usage data for as long as billing and accounting require. Chat history works differently: a chat holds only its most recent 200 messages, each new one pushing out the oldest, and a daily sweep deletes every message that has turned 7 days old — not merely hides it. Records of failures last 30 days, long enough for a problem reported on a Monday to still be traceable. If you want your data deleted outright, you can request account deletion from the dashboard or by writing to us.

6. Security

We implement reasonable security measures to protect your information. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
